Privacy Policy

What personal data we collect and when, for what purpose, and what rights you have as a data subject — on the basis of the General Data Protection Regulation (GDPR) and the German Federal Data Protection Act (BDSG).

Please note: This is a courtesy translation. The legally binding version of this privacy policy is the German Datenschutzerklärung.

2. General information on data processing

We process the personal data of our users only insofar as this is necessary to provide a functioning website as well as our content and services, or insofar as you have given your consent. The legal basis is generally Art. 6 (1) (a), (b) or (f) GDPR.

We use no tracking or analytics tools (no Google Analytics, Facebook pixel or similar), no advertising cookies and no social media plugins. We deliberately do without a cookie banner because we only use technically necessary functionality for which no consent is required (§ 25 (2) TTDSG).

3. Hosting

This website is hosted by Nodion, a hosting provider based in Germany. The server location and data processing take place exclusively within the European Union. A data processing agreement pursuant to Art. 28 GDPR is in place with the provider.

4. Server log files

Each time a page is accessed, the hosting provider stores data in so-called log files that your browser transmits automatically. These are:

  • IP address (shortened or pseudonymised where possible)
  • Date and time of the request
  • URL accessed and referrer
  • Browser and operating system used
  • HTTP status code and amount of data transferred

This data is processed exclusively to ensure trouble-free operation of the website, to maintain IT security (e.g. detection of attacks) and for statistical evaluation. The legal basis is Art. 6 (1) (f) GDPR (legitimate interest). Log files are deleted or anonymised after a maximum of 30 days.

5. Contacting us

If you contact us by email, telephone or via the contact form, your details — including the contact data you provide — will be stored by us in order to process your enquiry and to be available for any follow-up questions.

The contact form collects the following data:

  • Name (mandatory field)
  • Company (optional)
  • Telephone number or email address (mandatory — one of the two)
  • Subject / topic selection (optional)
  • Free-text message (optional)
  • Technical metadata: IP address, referring page and time of the enquiry

Transmission is encrypted via HTTPS. The submitted data is sent by email to our address info@tnia.de and additionally stored in a log file on our server, so that no enquiry is lost should email delivery fail. The log file is blocked from access over the internet.

The legal basis is Art. 6 (1) (b) GDPR (initiation of a contractual relationship) or Art. 6 (1) (f) GDPR (legitimate interest in responding to your enquiry). We store this data for as long as is necessary to process your request; statutory retention periods (e.g. under the German Commercial Code / Fiscal Code) remain unaffected.

6. Email processing (Microsoft 365)

Messages from our forms and all of our business email correspondence are processed via Microsoft 365. The provider is Microsoft Ireland Operations Limited, One Microsoft Place, South County Business Park, Leopardstown, Dublin 18, Ireland.

When you write to us via a form or by email, your details are transmitted to and stored in our mailbox hosted there. Microsoft processes this data as a processor on our behalf; a data processing agreement pursuant to Art. 28 GDPR is in place. Processing in third countries cannot be ruled out; Microsoft relies on the EU Commission's standard contractual clauses and on the EU-US Data Privacy Framework.

The legal basis is Art. 6(1)(b) GDPR (handling your enquiry) and Art. 6(1)(f) GDPR (legitimate interest in operating a reliable business email infrastructure). For details see Microsoft's privacy statement: privacy.microsoft.com.

7. Download area

In the download area (/en/downloads/) we provide company presentations and product documents from TNIA and our partners. Access requires you to complete the form there. The following data is collected:

  • Selected document (required)
  • Name (required)
  • Company (required)
  • Email address (required)
  • Consent to this privacy policy (required)
  • Technical data: IP address, browser identification, referring page and time of the request

This information is sent by email to info@tnia.de and additionally stored in a log file on our server. The log file is blocked from access via the internet.

Purpose and legal basis. We process this data in order to provide you with the requested document and to understand who has requested our documents. The legal basis is Art. 6(1)(b) GDPR (pre-contractual measures at your request) and Art. 6(1)(f) GDPR (legitimate interest in documenting and evaluating demand).

Retention. We delete these records no later than 24 months after the download, unless a business relationship has arisen in the meantime or statutory retention periods apply.

Download links are time-limited and signed. They expire after one hour and cannot be passed on in a usable form after that.

8. Fonts

This website uses the fonts “Jost” and “Inter”. These are hosted locally on our server and delivered together with the page. When a page is accessed, no connection to third-party servers — in particular not to Google — is established, and no IP address is transmitted to third parties.

9. Embedded map (OpenStreetMap, click-to-load)

On the contact page (/en/contact/) we offer a map from the provider OpenStreetMap Foundation, St John's Innovation Centre, Cowley Road, Cambridge, CB4 0WS, United Kingdom.

Merely accessing the page does not establish any connection to OpenStreetMap. Initially you only see a button served from our own server. No data is transmitted to OpenStreetMap and no cookies are set.

Only when you click this button and thereby actively load the map is a connection to OpenStreetMap established and your IP address transmitted there. OpenStreetMap does not set any tracking cookies and uses the data exclusively to provide the map service.

The legal basis for loading the map is your consent under Art. 6 (1) (a) GDPR, which you give by clicking the button. You may withdraw this consent at any time with effect for the future by not loading the map or by reloading the page. 10. Cookies

This website uses only technically necessary cookies. We do not use tracking, analytics or advertising cookies.

  • tnia_lang_pref — stores your language preference so that the notice banner about the language version does not reappear on every page load. Lifetime: 180 days.
  • tnia_dl — set only after you have submitted the form in the download area. It means you do not have to enter your details again when downloading a further document. Lifetime: 30 days. The cookie contains no plain data — only the expiry time, a non-reversible short signature and a checksum against tampering.

Both remain exclusively on your device and are not transmitted to us or to third parties. Both cookies are necessary for the service you requested (Section 25(2)(2) TTDSG) and are not subject to the consent requirement. You can delete them at any time in your browser settings; the form will then be requested again on your next download.

11. SSL/TLS encryption

For security reasons and to protect the transmission of confidential content, this site uses SSL or TLS encryption. You can recognise an encrypted connection by the fact that the browser's address bar changes from “http://” to “https://” and by the padlock symbol in your browser bar.

12. Your rights as a data subject

You have the right at any time to:

  • Access to the data stored about you (Art. 15 GDPR)
  • Rectification of inaccurate data (Art. 16 GDPR)
  • Erasure of the data stored by us (Art. 17 GDPR)
  • Restriction of processing (Art. 18 GDPR)
  • Data portability of the data you have provided, in a structured, commonly used, machine-readable format (Art. 20 GDPR)
  • Objection to processing based on a legitimate interest (Art. 21 GDPR)
  • Withdrawal of consent given, with effect for the future (Art. 7 (3) GDPR)

To exercise your rights, an informal message by email to info@tnia.de or by post to the address given in the legal notice is sufficient.

13. Right to lodge a complaint with the supervisory authority

You have the right to lodge a complaint with a data protection supervisory authority about the processing of your personal data by us. The authority responsible for TNIA is:

14. Currency of this policy

This privacy policy is continuously adapted to technical circumstances and the legal situation. The current version published on this page applies in each case.
